Explanation of Staff Authorizations

Invoices #

  • Show (Global) – All invoices.
  • View (Own) – Only invoices created by a staff member.
  • Create – Create invoices
  • Edit – All (if you have View Global permission) and Own
  • Delete – All (if you have View Global permission) and Own

A member of staff will also be able to see the invoices if inSettings-> Setup->Finances->Invoices, the option " Allow staff members to view the invoices they are assigned to ” is set to Yes and the staff is added as a sales agent to the invoice.

Quote #

  • Show (Global) – All Quotes.
  • View (Own) – Only Quotes created by the staff member.
  • Create – Create quotes
  • Edit – All (if you have View Global permission) and Own
  • Delete – All (if you have View Global permission) and Own

A staff member will also be able to see the estimates if in Settings-> Setup->Finance->Quote, the option " Allow staff members to view quotes where they are assigned is set to Yes and the staff is added as a commercial agent. to the quote.

Proposals #

  • Show (Global) – All proposals.
  • View (Own) – Only proposals created by a staff member.
  • Create – Create proposals

Contracts #

  • Show (Global) – All Contracts.
  • View (Own) – Only contracts created by the staff member.
  • Create – Create contracts
  • Edit – All (if you have View Global permission) and Own
  • Delete – All (if you have View Global permission) and Own

Payments #

  • See (Global) – All Payments.
  • View (Owner) – (Not Applicable) Based on View (Owner) permissions for invoices. If the staff member has permission to view invoices (Owner), only payments related to invoices created by the staff member will be visible.
  • Create – Create Payments – if you have View (Owner) permission for invoices, you will be able to add payments based on invoices created by the staff member.
  • Edit – All (if you have View Global permission for Invoices) and Own based on Invoices permission.
  • Delete – All (if you have permission to view global for payments) and have permission based on invoices.

Projects #

  • View (Global) – All Projects
  • View (Owner) – (Not Applicable) If the staff member does not have View (Global) permission for projects, then they will only be able to view projects where that staff member is added as a project member.
  • Create – Create new projects
  • Edit – All (if you have View Global permission) and projects where a staff member is added as a project member
  • Delete – All (if you have View Global permission) and Own

tasks #

  • View (Global) – All Tasks
  • View (own) – (Not Applicable) If the staff member does not have View (Global) permission for tasks, they will only be able to see tasks to which this staff member is assigned, added as a follower or the task is public.
  • Create – Create new tasks
  • Edit – All (if you have View Global permission) and tasks the staff member is logged into.
  • Delete – All (if you have View Global permission) and tasks the staff member is logged into.

In 1 occasion , the staff member will be able to see other tasks (if they don't have View Global permission for tasks) related to the project where the staff member is added as a project member only if in Settings-> Configuration-> Tasks ->  Allow all staff to see all project-related tasks (including non-staff) is set to YES .

Customers #

  • Display (Global) – All customers.
  • View (Own) – (Not Applicable) Based on customer admin, eq if user is added as customer admin for a specific customer, the menu item will be displayed and that user will only be able to see their customers .
  • Create – Create Customers – If you do not have View (Global) permissions, the staff member will automatically be added as a customer admin.
  • Edit – All (if you have View Global permission) and Own
  • Delete – Delete Customers – All (if you have permission) and Own

Please note: The staff member must be assigned to at least 1 customer admin the Customers menu item to display.

Articles #

  • Show (Global) – Show all items.
  • See (own) – Not applicable.
  • Create – Create Items
  • Edit – Edit and manage all items.
  • Delete all

Database #

  • Show (Global) – Show All Articles includes articles from internal staff members.
  • See (own) – Not applicable.
  • Create – Create articles and groups
  • Edit – Edit and manage all articles and groups.
  • Delete all

Objectives #

  • Show (Global) – Show all goals.
  • See (own) – Not applicable.
  • Create – Create Goals
  • Edit – Edit and manage all goals.

  • Show (Global) – Show all email templates

Bulk PDF Exporter #

  • View (Global) – Staff member will be able to VIEW Bulk PDF Export feature in Utilities->Bulk PDF Exporter and will be able to export Invoices, Proposals, Payments and Quotes based on permissions of these features . eq Staff member has permission to view invoices (owner), then will only be able to export invoices created from this staff member.
  • See (own) – Not applicable.
  • Create – Not applicable.
  • Edit – All (if you have View Global permission) and Own
  • Delete – Not Applicable

Note that the main authorization will be hidden if a staff member is marked as not being a staff member.

  • View (Global) – If this permission is not to checked, a staff member will only be able to see leads they are assigned to, leads created by the staff member, and leads marked as public.
  • See (own) – Not applicable.
  • Create – Not Applicable – All staff can create leads, except members marked as non-staff
  • Edit – Not Applicable – Anyone with access to a specific lead can edit most of the lead information for better collaboration and keep the lead information up to date.
  • Delete – If not granted, staff will only be able to delete their own leads.
  • Staff members who are not admins can only see leads assigned to them ,  the lead is created by a staff member or the lead is marked as public .
  • Staff members who are not not administrators can create and assign leads to all other staff members.

Other notes on permissions: #

  • Assistance tickets – By default, only staff members belonging to the ticket department will be able to see tickets if in Configuration->Settings->Tickets, the option  Allow staff to access the only ticket belonging to personnel departments is set to YES , otherwise be able to see all tickets.
