How to create an invoice

Invoices are mandatory accounting documents that prove the transaction made between two companies. Being essential documents to prove transactions between two companies, it is important to automate this task in order to avoid errors and above all to save precious time! Djaboo helps you in this process.

Creation of an invoice

To create a new invoice, go to Sales -> Invoices And click on the button Create an invoice

Select Client, when selecting a Client, the client's information will be passed directly from the client's profile. Another option is that you can click on the edit icon and directly add the desired customer information, this is also applied for the billing information that it is also retrieved when selecting a customer.

NOTE: If you want the billing information to be automatically populated when selecting the customer, you must first have added the billing information in the customer's profile.

Billing and Shipping – If you edit billing and shipping information after selecting a customer and clicking the edit icon, this will change for the invoice, but in the customer profile the information will remain the same.

Payment methods allowed for this invoice – Select the payment methods allowed for the invoice you are creating, if your customers pay online using Djaboo payment gateways, they will be visible in the html area of ​​the invoice and when registering the payment of the invoice. invoice from the administration area.

Currency – The currency is automatically selected based on your default currency or the currency set for the selected customer that you selected earlier in the customer profile. If this customer's currency is USD , it will be automatically selected and cannot be changed, learn more here

Bill number – The number is automatically filled in Eq. 00012 will then be 00013.

This number is retrieved from Settings->Configuration->Finance->Invoice – Next number, the number is automatically incremented, but you can change the next number in Settings->Settings->Finance->Invoice.

The customer note is also visible on the customer side, on the HTML invoice and the PDF invoice.

You can configure the terms directly in the invoice or you can have predefined terms that will be filled in automatically. To set up predefined terms, go to Setup -> Settings -> Finances -> Invoice, scroll down and you can fill in the fields as you wish.

Sales agent – ​​You can select a sales agent for this invoice and then generate reports in Reports->Sales->Invoice report. Note that the sales agent's full name will be displayed on the invoice if in Setup->Settings->Finance->Invoice->Show sales agent on invoice is set to yes, see image.

You can add invoice items, when adding make sure to click the blue tick icon for the item to be added, you can also select tax options as shown in the image.

Invoice items

Items will be stored separately for each invoice and changing item information in Sales->Items will not affect invoices already created with specific items.

The administration note is reserved for administrators/staff members.

The customer note is also visible on the customer side, on the HTML invoice and the PDF invoice.
